TERMS AND CONDITIONS
UPDATED December 2024
The questions and answers below are part of our official Terms and Conditions. When you purchase a pass, book a class, or use any of our services at The Pilates Mat Room (PMR), you're agreeing to these terms. By continuing to enjoy our offerings, you’re letting us know you’re on board with these guidelines.
Class Lengths
All group classes are 45 minutes in length.
All private sessions are 50 minutes in length.
Arrival Timing
As a very small (micro!) studio, we ask that clients arrive no more than 10 minutes before class.
This allows the previous class to wrap up and gives instructors time to reset the room and prepare for you.
Studio Communication
To keep classes running smoothly and allow instructors to be fully present for teaching, we ask that account, booking, and studio-related questions are not addressed immediately before class.
If you have questions about your account, passes, scheduling, or studio policies, please reach out by email and we’ll be happy to help outside of class time.
This helps ensure instructors can focus on teaching and gives your questions the time and attention they deserve.
Health
If you’re feeling unwell, please skip coming into the studio.
This includes any cold- or flu-like symptoms (fever, cough, sore throat, congestion, fatigue, stomach bugs, etc.). If you’re sick, we ask that you take at least 5 days away from in-studio classes and only return once you’re feeling fully symptom-free.
When a client cancels due to illness, the studio will cancel any remaining in-studio bookings within the next 5 days to support proper recovery and help protect our community.
Want to keep your credit? If you’re feeling up to it, you’re always welcome to join classes via livestream during this time using your regular passes.
These guidelines help us look after our small studio community and keep everyone moving safely.
Illness-Related Credits
Illness-related credits are offered at the studio’s discretion and may require time away from in-studio classes before returning.
This helps keep expectations consistent and protects both clients and instructors.
Cancellations
Class cancellations must be made at least 24 hours in advance.
If you’re unable to cancel through your account, it means the cancellation window has passed.
To keep classes running smoothly and safely, late entry is not permitted more than 5 minutes after class begins.
All purchases are non-refundable and non-transferable.
Waitlist
You must have an active pass on your account to hold a waitlist spot. If there isn’t an active pass, the spot will automatically be offered to the next person in line.
If you’re added to a class from the waitlist, the same 24-hour cancellation policy applies.
No-Shows
If you do not attend a scheduled class and do not cancel in advance, the class credit will be forfeited.
Pass Expiry
We keep our expiry windows long on purpose, this allows flexibility around travel, seasonal changes, illness, and life.
Please note that passes are not extended.
PMR tip: If you’re in a particularly busy season, sticking to drop-ins or a 5-class card is often a better fit than a 10 or 30.
Studio Closures & Instructor Illness
In the event of instructor illness, weather closures, or other unforeseen circumstances, classes may be cancelled or rescheduled.
Our instructors follow the same health guidelines as our clients and will only return to teaching once they are symptom-free.
When a class is cancelled by the studio, the class credit will be returned to your account.
Class Suitability & Personal Responsibility
Clients are responsible for informing their instructor of any injuries, pregnancies, or medical considerations prior to class.
Participation is always at the client’s discretion. Modifications may be offered, but clients are encouraged to move within their own comfort and ability levels.
Our Approach to Progression
All new clients are required to start with a Foundations class and/or a private session before booking into higher-level classes.
This helps ensure you’re placed in classes that match your experience, support your body, and allow you to move with confidence from day one. Foundational work gives you the tools to understand the exercises, follow class clearly, and progress safely.
Starting with Foundations or a private also gives you the opportunity to ask questions, receive individual guidance, and settle into the studio before moving into higher-level work.
This policy applies to all new clients, regardless of previous Pilates experience.
Class Levels & Placement
Class levels at PMR are designed to support safe, progressive learning.
If an instructor feels that a class level is not currently the best fit for a client, PMR reserves the right to recommend, or place the client in, a foundational class.
Foundational work is one of the core values of our studio. A strong understanding of the basics is essential before progressing into higher-level work and is critical for safety, confidence, and long-term success.
Our goal is always to support each client in the class environment that best serves their body and learning at that time.
Studio Etiquette
All equipment is provided. Please wipe down anything you use after class so the space is ready for the next person.
Lockers are available, please store personal belongings there.
The studio is not responsible for lost or stolen personal belongings.
Behavior & Respect
We are committed to maintaining a safe, respectful, and supportive environment.
PMR reserves the right to refuse service or ask a client to leave if behavior is disruptive, unsafe, or disrespectful to instructors or other clients.
Age Policy
Participants must be 18 years or older to attend class independently.
Clients aged 15–17 may attend with a parent or legal guardian present, provided a liability waiver has been signed in advance.
Please email pilatesmatroom@gmail.com if you’d like the waiver sent ahead of time.
Policy Updates
Policies may be updated from time to time. The most current version will always be available on our website.
